1. User Roles & Permissions

Understanding roles is crucial for firm security:

  • ADMIN: Full access to firm settings, billing, and all matters.
  • PARTNER: Can oversee all matters, approve leave, and manage lawyers.
  • ASSOCIATE/LAWYER: Focused on matter management and time tracking.
  • STAFF: Limited access, typically for administrative support.

2. Opening a New Matter

Follow these steps to ensure data integrity:

  1. Ensure the client is already registered in the Client Directory.
  2. Click + New Matter in the Matter Management panel.
  3. Perform a Conflict of Interest Check by entering the counterparty name.
  4. Assign a Lead Lawyer to ensure accountability.

3. Email-to-Matter Logging

Every matter has a unique secret email address. Forward any client correspondence to this address, and it will be automatically logged in the matter's activity feed.

4. Attendance & Leave

Staff should "Check In" daily. Partners can review attendance logs and approve/reject leave requests under the HRM section.

5. Financial Discipline

To ensure accurate billing at the end of the month, all staff must log their billable hours daily. Unbilled WIP (Work in Progress) is visible on the main dashboard for Partners to review.

6. Data Security & KYC

For regulatory compliance (KYC), firms can securely store sensitive client identifiers such as National ID numbers, Passport details, and Corporate Registration documents within the Client Profile. Access to this data is restricted based on user roles to ensure maximum privacy.
